Statistical Releases from South Africa


The series of statistical releases from South Africa was previously treated as a periodical. It is actually a set of statistical releases on various topics issued at various frequencies (some are issued monthly, some quarterly, some annually, etc.). Each has a separate title and a number within the main set. For example, Kontrakprysindeks van geboue = Contract price index for buildings is numbered as P0153; each quarterly issue carries that same number, as well as a coverage date and an issuing date.

Note: Be careful not to confuse the Statistical Release with the Statistical Report, issues of which may have the same title and cover the same time period. The Release is intended as a news release, while the Report is a more formal document. When cataloging, it may be necessary to construct a uniform title to distinguish one publication from another.

As of June 2006, the established titles for the series are, from earliest to latest:

Issues have been permanently bound up through 1986. Continue to regard these issues as a periodical, leaving them in their respective bib records 2116221 and 745714.

Issues have been temp-bound since 1987. Treat these as a sort of hybrid "class sep/class together" as follows:

1. Dis-bind the volumes, if needed.

2. Re-organize the pieces to bring together all issues within each separate title (e.g. P0153, Kontrakprysindeks van geboue = Contract price index for buildings).

3. Catalog each title as a separate serial. For several years, issues have had CIP records printed in them. The copy looks useful as far as giving information on beginning date of publication, suggestions for LC subject headings, etc., but it will need some modification to bring it up to AACR2/LCRI standards. When basing your Voyager record on the CIP, treat it as "original".

Give the analytic title as the title proper. Trace the title of the main set as a series (490/830), including the number. Many of these will require two or more 490/830 combinations, because of the changes in issuing body or series title.

[Note: Placement of the corporate body name on the piece may vary, so there won't be apparent consistency as to the place for recording it. Just make sure it's recorded somewhere, according to how you interpret the layout for any given piece.]

4. Give each title a unique call number, consisting of L968A C396stn and the number of the title within the series. For example, Kontrakprysindeks van geboue will have the call number L968A C396stn P0153.

5. Treat all titles as periodicals (008 Type of Serial = p) even if the frequency is annual. Input the following note in the copy level notes:

$z Current issues shelved as: Statistical release; [number in series]

6. If appropriate, make a public note in the holding record referring to the location of earlier issues.

7. No purchase order is needed; issues will be checked into 899 fields.

8. Update the MFHD as appropriate for periodicals, bound and unbound.

9. If there are complete runs that are a bindable thickness, they can be sent for binding. Use a Serial Binding Form and include the information that color code 2571 should be used.

10. Do not add holdings to the records for the series.
