Introduction

Serials Cataloging statistics are collected and reported via computer programs. Codes are added to fields 948 and 949 in the bibliographic record at the time of cataloging work. Some codes are added by computer program when Catalog Management performs batch work on bibliographic records.

Monthly, the VgerSelect program is used to identify Voyager records newly cataloged or recataloged during the reporting month. Specific data are extracted from the records and imported into an Access database, from which the monthly reports are generated.

This process depends on consistent and proper use of the 948 and 949 fields in the bibliographic record. Thus it is highly recommended that macros be used to input these fields to ensure that data (especially the date) are input correctly.

948 -- Record creation information (New cataloging)

Field 948 is to be added to each record that is newly cataloged.

This field is not repeatable.

Replace a 948 field only when it is provisional (i.e., not yet cataloged--subfield $b does not contain b, c, d, or h).

Of the subfields listed below, all subfields are required, except for subfield $a (Note). None of the subfields may be repeated, except for subfield $a.

$a -- Note

This subfield is not used for statistical purposes, except in the very rare instance when code other is used in subfield $g. Input here any information you consider useful, keeping in mind that it will be ignored in the statistics generating process unless accompanied by the code other in subfield $g.

$b -- Cataloging status code

a not yet cataloged
c not to be cataloged (i.e. desk copy)
d classed separately
e cataloging completed; record has been updated on OCLC (if one exists)
h cataloging completed; record has not been updated on OCLC (this should very rarely be used in Serials Cataloging)
p not yet cataloged; record has been updated on OCLC (at the time of cataloging, this code would be changed to "c", "d" or "e" and the date changed)

Codes c, d, e, and h indicate that the record is "done"; they must only be input when cataloging is completed and ready to be counted. If the OCLC record has been updated but the item is remaining in the backlog or on the In Process shelves, use code p. In all other cases, use code a only.

$c -- Cataloging status date

This is the date that cataloging is completed (the same day that the Cataloging status code is applied). It is input in the format "yyyymmdd":

It is very important that this date be the actual date of updating the 948 field, or the record may be counted in the wrong month or not at all.

$d -- Type of cataloging copy

$e -- Initials of person preparing the record

Your two- or three-letter initials are entered in this field.

$f -- Location

This is the location for which the cataloging was done.

If two or more locations would apply (e.g. two copies were cataloged, or accompanying material is in a separate location), use the "most important" location (e.g. "nref" vs. "nsel" for two copies, or "nstx" vs. "ncirc" for a title that has accompanying CD-ROM).

For "Latest volume in Reference" serials, use the temp location code instead of the code in 852 $b.

$g -- Statistical category code

Only one code may be input in this subfield. Use the code that best fits the situation at hand.

The following subfields are also defined for field 948, but are not used by Serials Cataloging staff:

949 -- Record modification information (i.e. Recataloging and other work)

This field records statistics for recataloging and other related work (such as withdrawals, CONSER transactions, creation of Sample File records for Africana, etc.).

A new field 949 is to be added for each instance of recataloging.

Existing 949 fields should not be modified or removed for any reason.

Statistics are generally not recorded for very minor changes to a record, such as correcting spelling or tagging errors or adding a misnumbering note.

Of the subfields listed below, all subfields are required, except for subfield $a (Note). None of the subfields may be repeated, except for subfield $a.

$a -- Note

This subfield is not used for statistical purposes. Inut here any information you consider useful, keeping in mind that it will be ignored by the programs used for generating statistics.

$c -- Modification date

This is the date recataloging is completed. It is input in the format "yyyymmdd":

$c 20050728

It is very important that this date be the actual date of updating the 949 field, or the record may be counted in the wrong month or not at all.

$e -- Initials of person modifying the record

Your two- or three-letter initials are entered in this field.

$f -- Location

This is the location for which the recataloging was done.

If two or more locations would apply (e.g., two copies, in different locations, are attached to the record; or accompanying material is in another location) use the "most important" location (e.g. "nref" vs. "nsel" if two copies exist, or "nint" vs. "nstx" if you have added a URL for an electronic version).

For "Latest volume in Reference" serials, use the temp location code instead of the code in 852 $b.

$g -- Statistical category code

Only one code may be input in this subfield. Use the code that best represents the reason that the record came up for recataloging or for which the most significant work was done.
