SCP 86

ACM Periodicals With Special Conference Issues


Background

Some periodicals published by various subgroups of the Association for Computing Machinery have occasional issues (numbered or unnumbered) which consist of conference proceedings/papers. Because the Science and Engineering Library wishes to have these available for circulation to library users, they cannot be classed and bound with the rest of the periodical issues.


1. Check-in note

The check-in note for the parent periodical should include the following:

2. Check in the issue

a. Numbered issue

Check in the issue. Turn OPAC display to "no" for the issue. Edit the issue to add the conference name and date. Input as much information as will fit, using abbreviations as necessary.

Example:
v. 36, no. 1 (2001 Jan.) (Intl Symposium on Memory
Management, Oct. 2000)
b. Unnumbered issue

Check the issue into a separate component for unnumbered supplements. Use the conference name and date for the enumchron. Turn OPAC display to "no" for the issue.

Example:
SIGETC 2001 Conf on Misc Junk (2001:June)

3. Notes in bibliographic record for parent periodical

If not already present, add the following notes to the bibliographic record for the parent serial. Do not add linking fields or added entries.

500 ## $a Some issues contain conference proceedings and have
       distinctive titles.
590 ## $a Conference issues are cataloged and classified
       separately in this library.

4. Series authority

Create a series authority record for the parent periodical if one does not already exist. In the 008, code the "Type of series" element as z and the "Numbered series" element as a.

Code the series treatment fields as follows:

644 ## $a n $b except conference issues $5 IEN
644 ## $a f $d conference issues only $5 IEN
645 ## $a n $d non-conference issues $5 IEN
645 ## $a t $d conference issues only $5 IEN
646 ## $a c $d non-conference issues $5 IEN
646 ## $a s $d conference issues only $5 IEN

5. One-time only conference

If the issue is for a "monographic" (one-time-only) conference, route it to MARC Dept. with the following note, and proceed with step 9 when MARC Dept. assigns a call number.

Received on PO [order record number; e.g. 54321]. Please cat sep. Notify SerCat when call number assigned.

6. Ongoing conference

If the issue is for an ongoing conference, search Voyager for a corresponding serial record; if found, continue with the next step.

7. Serial bibliographic record for conference issue

Create a new serial bibliographic record for the conference; classify, cutter, and caption as an independent work.

If the conference issue is a numbered issue of the parent serial, add field(s) 440 or 490/830 referring to the parent.

Examples:
440 #0 $a SIGMOD record

490 1# $a 1976-1982: SIGSOC bulletin
490 1# $a 1983-   : SIGCHI bulletin
830 #0 $a SIGSOC bulletin.
830 #0 $a SIGCHI bulletin.

If the conference issue is an unnumbered issue of the parent serial, add fields 580 and 730 referring to the parent.

Example:
580 ## $a Published as unnumbered special issues of: SIGMOD
       record.
730 00 $a SIGMOD record.

If the later instances of a conference change from numbered to unnumbered issues of the parent, change the series statement and add a 580 note to that effect. Leave the 830 as is, and do not add a 730.

Example:
490 1# $a 1999-2001: SIGMOD record
580 ## $a Issues for 2002-   published as unnumbered special
       issues of: SIGMOD record.
830 #0 $a SIGMOD record.

8. Serial holdings record for conference issue

Add the following text to 852 subfield $x:

process according to SCP 86

Add the volume to the volume holdings record.

9. Holdings record for parent periodical

If the issue is a numbered issue of the parent periodical, add it to the MFHD record of the parent, giving the call number (including caption).

Example:
866 41 $8 0 $a v.29:no.1 (1994:Jan.)-v.29:no.5 (1994:May)
866 41 $8 0 $a v.29:no.6 (1994:June) $z (marked as L005.13 S578p 1994)

Do not add unnumbered issues to the MFHD record of the parent.

10. Combined issue for two or more periodicals

If the issue is a numbered issue of two or more parent periodicals, add it to the MFHD record of each parent serial per step 9. If not already present, add to each parent bibliographic record a linking note and linking field(s) 787.

Examples:

11. Final forwarding

Follow routine final forwarding procedures (including added volume statistics). Do not record volume statistics for issues sent on to MARC Dept. to be cataloged as monographs.
