A. Introduction

Looseleaf publications have three distinctive characteristics:

1. They are published in pages or pamphlets that are filed in a binder.

2. The set is updated with pages or pamphlets that replace or add to the previous material.

3. The set as a whole is integrated, at least by a digest system or an index that is supplied or cumulated nearly as often as updating pages or pamphlets are provided.

There are three basic types of looseleaf publications:

1. Sequential -- New pages or pamphlets are filed at the end of the existing material.

2. Interpaginated -- New pages or pamphlets are interfiled within the existing work, sometimes superseding the existing material, sometimes adding to it. There are two major types:

a. Those intended to be continued indefinitely (or at least until the need for revision is so substantial as to warrant reissuing the basic volumes).

b. Those that are entirely superseded at regular intervals.

3. Mixed -- Part of the looseleaf service is filed sequentially and part is interpaginated.


B. Cataloging

Looseleaf publications which have a standing order for the updates or for new or replacement sections are treated as serials by NUL. They are cataloged as ordinary serials with the following variations:

1. Frequency should be based on the frequency of the updates. A 515 note can be used to provide details on the frequency of replacement binders, etc.

2. Add any needed 246 fields (varying form of title) for additional titles such as titles appearing on updates or on binder spines.

3. The extent of publication in 300 subfield $a should be followed by the word "looseleaf" in parentheses.

Examples:

300 ## $a v. (looseleaf) : $b ill. ; $c 28 cm.
300 ## $a 3 v. (looseleaf) : $b ill. ; $c 28 cm.  [showing number of binders]

4. If necessary, add a note describing the updating method.

Examples:

500 ## $a Kept up to date by pocket supplements.
500 ## $a Issues are in the form of looseleaf supplements which
partially update the main volume.

C. Holdings

1. Input any needed notes concerning the processing of the binders or updates. Some older notes are in the 940 field in the bibiographic record; input any new ones in the holding record.

2. New binders generally are barcoded and have an item record. If a title periodically receives additional or replacement binders, input a non-displaying note stating such, with item creation and marking instructions. Old binders should be withdrawn (item record deleted). For examples, consult bib records #461558, #472873, #488603, #3254645. If binders have a different caption from the update, use separate caption notes.

3. Input a publically displaying note stating the frequency of the updates.

Examples:

852 $z (LOOSELEAF SERVICE UPDATED MONTHLY)
852 $z (LOOSELEAF SERVICE UPDATED QUARTERLY; CURRENT
UPDATE ONLY RETAINED)

4. In addition to all other notes input the following acquisitions information:

899 1# $a UPDATED THROUGH:
899 0# $a DO NOT REMOVE OR ALTER "UPDATED THROUGH" LINE; IT IS
       NEEDED FOR PROPER OPAC DISPLAY OF CURRENT ISSUE
899 0# $a DO NOT ADD CURRENT ISSUES HERE - USE CHECK-IN PATTERN

Note that the 899 line with "UPDATED THROUGH:" should be the last displaying field, coming after all holdings fields.


D. Acquisitions Check-in Record

In order for the most recent update received of a looseleaf publication to display under "Current issues" in the OPAC, several steps must be taken when creating a predictive check-in pattern in addition to the notes in the holding record.

1. Create a predictive check-in pattern for the updates.

2. Add a check-in note:

Looseleaf publication: Check in and change opac display to
"no" for the PREVIOUS issue // (all but the latest issue should
be set to "no")

It is essential that only the latest received issue have an OPAC display of "yes". This, combined with the displaying note "UPDATED THROUGH:" in the holdings record, will cause an OPAC display such as:

Current issues: UPDATED THROUGH:
                v. 40, no. 8 (2001 June)

3. If new or replacement binders are expected to be received, create a second component for them. Unless the binders will be received regularly, with incrementing enumeration or chronology, use a nonpredictive (bypass) pattern.
