Introduction

This document is intended to be a quick-reference guide to aid in the creation of authority records for established series headings. Certain local practices for specific elements are included in this document. For more detailed information on the content and tagging of series authority records, refer to MARC 21 Format for Authority Data, Descriptive Cataloging Manual Z1: Names and Series Authority Records, or NACO Participants' Manual (all available in Cataloger's Desktop).

In an authority record, use key F2 when the cursor is in the Tag column to find a list of valid field tags. Use key F2 when the cursor is in the I1 or I2 column to find a list of valid indicators. Use key F2 when the cursor is in the Subfield Data column to find a list of valid subfield codes.

Important notes regarding records derived from the national authority file:

These records can usually be identified by the presence of field 010 or the absence of any local MARC organization code in field 040: IEG, IEN, IEN-M, IEN-L, IEN-Tr.

Do not remove or modify any field that is not identified only as a local field. A local field is one that contains a local MARC organization code in parentheses or in subfield $5.

Any fields added must contain subfield $5 (where defined) with "IEN" (or "IEN-Tr" for Transportation Library).

If a local MARC organization code appears only in 040 subfield $d, consult with the Authorities Librarian before modifying the record.

Use "z" (Other) when the serial publication does not consist entirely of analytics (e.g., Atlantic monthly or a serial that has only occasional monographic issues such as ACM SIGPLAN notices).

Use "c" (Series-like phrase) when the heading is for a phrase that is to be entered only as a quoted note in analytic records.

010 -- Library of Congress control number

This field contains the LC Control Number for records based on the national authority file. Do not add this field to a local authority record.

014 -- Link to bibliographic record for serial or multipart item

Use subfield $a only. Input the MARC organizatio code "(IEN)" (or "(IEN-Tr)" for Transportation Library) followed immediately by the bibliographic record number for the serial indicated in the 1XX field of the authority record. Do not input a space between the code and the number. Note that this number is for the series, not for an analytic within the series.

Example:

014 ## $a (IEN)123456

When multiple serial records exist because of changes in series treatment (usually going from classed together to classed separately), use a separate 014 field for each, including an explanatory parenthetical phrase. The 014 for the current (latest treatment) record should be in the first position.

Example:

In most cases the 1XX in the authority must match the 1XX/240, 1XX/245, or 245 in the related bibliographic record. However, when the authority record is for a subseries of a numbered series, and the classification treatment is "class in main series" (see 646 below), and there is no separate bibliographic record for the subseries, give the record number for the main series, qualified by the phrase "(main series)".

022 -- International standard serial number

This field contains the ISSN for the serial indicated in the 1XX field.

Example:

022 ## $a 2345-6789

If an incorrect ISSN is found on the item (e.g. the number has a typographic error or belongs to an earlier or different title), use subfield $y.

Example:

Both the correct and incorrect ISSN appear on the piece:

Only the incorrect ISSN appears on the piece:

022 ## $y 2345-6788

If the ISSN is for the main series (the parent of the title in field 1XX), add the phrase "(main series)" after the ISSN.

035 -- System control number

This field usually contains either an OCLC record number or the original NOTIS record number. There is no need to add this field.

Example:

040 -- Cataloging source

For original records, use the local MARC organization code in subfields $a and $c.

Example:

NOTE: If the record is derived from a national authority file, the local MARC organization code is used in subfield $d only in very rare circumstances. The Authorities Librarian must be consulted in such cases.

050 -- Library of Congress call number

Use this field if the series is classed together and has an LC call number.

Use 2nd indicator "4" (Assigned by agency other than LC); put the class number in subfield $a; put the remainder of the call number (Cutter, work mark, etc.) in subfield $b; end the field with "$5 IEN" (or "$5 IEN-Tr" for Transportation Library).

Example:

050 #4 $a BR141 $b .S84 $5 IEN

If the call number applies only to a partial run of the series, use subfield $d to record the specific volumes/dates to which the call number applies.

082 -- Dewey Decimal call number

Use this field if the series is classed together and has a DDC call number.

Use 1st indicator "0" (Full) and 2nd indicator "4" (Assigned by agency other than LC); put the class number in subfield $a; put the remainder of the call number item number (Cutter, work mark, etc.) in subfield $b; end the field with "$5 IEN".

Example:

082 04 $a 150.5 $b C312b $5 IEN

If the call number applies only to a partial run of the series, use subfield $d to record the specific volumes/dates to which the call number applies.

Example:

If you know the specific edition of DDC that the classification number was built from, include that in subfield $2.

086 -- Government document call number

Use if the series is classed together and has a SuDocs call number.

Use 1st indicator "0" (Superintendent of Documents classification system); put the call number in subfield $a. End the field with "$5 IEN" (or "$5 IEN-Tr" for Transportation Library) if you are adding the field to a copy of a national record.

Example:

If the call number applies only to a partial run of the series, use subfield $d to record the specific volumes/dates to which the call number applies.

090 -- Local call number (NU-defined)

Use if the series is classed together and has a call number from a locally created scheme (e.g., a Special Collections call number).

Put the first segment of the call number in subfield $a; put all remaining segments in subfield $b.

If the call number applies only to a partial run of the series, use subfield $d to record the specific volumes/dates to which the call number applies.

Subfield $5 is not used in this field.

100 -- Heading--Personal name

Use when the series title heading is established under a personal name. Use of this field is extremely rare in a series authority record.

Typically this field will consist of the personal name as established in its own authority record, followed by subfield $t (Title) containing the title as found in the serial bibliographic record's 240 or 245. Do not input an initial article in subfield $t. Use subfields $n and $p for numbers/names of sections/parts, as in the bibliographic record. Do not input parallel titles or subtitles (bibliographic 245 $b).

Example:

110 -- Heading--Corporate name

Use when the series title heading is established under a corporate body name. Use of this field is uncommon for a series established according to AACR2.

Typically this field will consist of the corporate name as established in its own authority record, followed by subfield $t (Title) containing the title as found in the serial bibliographic record's 240 or 245. Do not input an initial article in subfield $t. Use subfields $n and $p for numbers/names of sections/parts, as in the bibliographic record. Do not input parallel titles or subtitles (bibliographic 245 $b).

Example:

111 -- Heading--Meeting name

Use when the series title heading is established under a conference or meeting name. Use of this field is uncommon for a series established according to AACR2.

Typically this field will consist of the meeting name as established in its own authority record, followed by subfield $t (Title) containing the title as found in the serial bibliographic record's 240 or 245. Do not input an initial article in subfield $t. Use subfields $n and $p for numbers/names of sections/parts, as in the bibliographic record. Do not input parallel titles or subtitles (bibliographic 245 $b).

130 -- Heading--Uniform title

Use when the series title heading is established under title.

Use indicators #0.

Input the title as found in the serial bibliographic record's 130 (if present) or 245 (if 130 is not present). Do not include initial articles. Use subfields $n and $p for numbers/names of sections/parts, as in the bibliographic record. Do not input parallel titles or subtitles (bibliographic 245 $b).

640 -- Series dates of publication and/or volume designation

For a numbered monographic series or serial, this field is analogous to the 362 field in the bibliographic record. An exception is that dates are typically added in parentheses even if the dates are not given in the 362 field.

641 -- Series numbering peculiarities

This field is analogous to the 515 field in the bibliographic record.

Example:

642 -- Series numbering example

Use to give an example of the series numbering to be used in the tracing in the analytic bibliographic record. Note that there is no direct relationship between this field and how the volume is to be marked or noted in the holdings record.

Example:

If the example applies only to a portion of the series, use subfield $d to explain.

Example:

Do not add subfield $5 with a local code to any field that does not apply locally. The field denoting local practice must appear before any other 642 field. If there are multiple fields with a local code, the one with current practice should be first.

643 -- Series place and publisher/issuing body

This field is roughly analogous to the 260 field in the bibliographic record. Put the place of publication in subfield $a and the name of the publisher in subfield $b. Do not use punctuation between subfields.

If the place and/or publisher changes, use multiple 643 fields. Put the range of volumes/dates applicable to the place and publisher in subfield $d. (NOTE: This is not subfield $c, as would be used in the bibliographic record.)

644 -- Series analysis practice

Use to tell whether, and how, the series is analyzed. Four subfields are used:

$a: whether and how the series is analyzed

$b: exceptions to the practice in subfield $a

$d: details on the specific range to which the practice in subfield $a applies

$5: MARC organization code of the institution to which the practice applies

More than one 644 field may need to be used, depending on local practice.

Do not modify subfields $a, $b, or $d in any field that includes a non-local MARC oganization code. If local practice varies in any way from the practice defined in a given field, use another field. Do not add subfield $5 with a local code to any field that does not apply in its entirety to local practice.

If multiple 644 fields are in the record, put the field containing current local practice in the first position.

Subfield $a (Series analysis practice):

NOTE: Codes marked with an asterisk (*) are for old practices which have been discontinued. These may need to be changed to the corresponding "brief" versions of analysis as encountered.

f = Analyzed in full

Each individual title within the series has its own full-level record.

* f (anal : author/title) = Analyzed in full (author/title)

Each individual title within the series has its own brief record with minimal descriptive and access data. Main entry for the analytic is under author when appropriate.

f (anal : brief) = Analyzed in full (brief)

Each individual title within the series has its own record. If OCLC copy is not found, a less-than-full level record is created.

* f (anal : title) = Analyzed in full (title)

Each individual title within the series has its own brief record with minimal descriptive and access data. Main entry for the analytic is under title, and no author fields are included.

p = Analyzed in part

Some individual titles within the series have their own full-level records. Unless subfield $d states otherwise, it is assumed that every volume which can be analyzed is analyzed.

* p (part anal : author/title) = Analyzed in part (author/title)

Some individual titles within the series have their own brief records with minimal descriptive and access data. Main entry for the analytic is under author when appropriate. Unless subfield $d states otherwise, it is assumed that every volume which can be analyzed is analyzed.

p (part anal : brief) = Analyzed in part (brief)

Some individual titles within the series have their own records. If OCLC copy is not found, a less-than-full level record is created. Unless subfield $d states otherwise, it is assumed that every volume which can be analyzed is analyzed.

* p (part anal : title) = Analyzed in part (title)

Some individual titles within the series have their own brief records with minimal descriptive and access data. Main entry for the analytic is under title, and no author fields are included. Unless subfield $d states otherwise, it is assumed that every volume which can be analyzed is analyzed.

n = Not analyzed

Individual titles within the series do not have their own records.

Subfield $b (Exceptions to analysis practice)

If the practice in subfield $a is generally true but has some definite exceptions, use subfield $b to give those exceptions.

Subfield $d (Volumes/dates to which analysis practice applies)

If the practice in subfield $a is for specific volumes (e.g., a specific range of numbers or dates, or a specific category of volumes), use subfield $d to identify those volumes.

Example:

645 -- Series tracing practice

Use to tell whether the series is traced in analytic records. Three subfields are used:

$a: whether the series is traced

$d: details on the specific range to which the practice in subfield $a applies

$5: MARC organization code of the institution to which the practice applies

More than one 645 field may need to be used, depending on local practice.

Do not modify subfields $a or $d in any field that includes a non-local MARC organization code. If local practice varies in any way from the practice defined in a given field, use another field. Do not add subfield $5 with a local code to any field that does not apply in its entirety to local practice.

If multiple 645 fields are in the record, put the field containing current local practice in the first position.

Subfield $a (Series tracing practice)

t = Traced as a series added entry

This is the normal current practice at NUL for an analyzed series.

n = Not traced as a series added entry

This is the normal practice at NUL for a series that is not analyzed (since there can be no tracings if there are no analytic records).

This was also a common earlier practice for some analyzed series. As encountered, the practice is changed to traced, and notes are made in subfield $d as appropriate.

Subfield $d (Volumes/dates to which tracing practice applies)

If the practice in subfield $a is for specific volumes (e.g., a specific range of numbers or dates, or a specific category of volumes), use subfield $d to identify those volumes.

Example:

646 -- Series classification practice

Use to tell whether volumes in the series are classed together as a set, classed separately, or classed in a main series. Three subfields are used:

$a: how the volumes are classed

$d: details on the specific range to which the practice in subfield $a applies

$5: MARC organization code of the institution to which the practice applies

More than one 646 field may need to be used, depending on local practice.

Do not modify subfields $a or $d in any field that includes a non-local MARC organization code. If local practice varies in any way from the practice defined in a given field, use another field. Do not add subfield $5 with a local code to any field that does not apply in its entirety to local practice.

If multiple 646 fields are in the record, put the field containing current local practice in the first position.

Subfield $a (Series classification practice):

c = Volumes are classified as a collection

The series is being treated as a classed-together serial. The call number from 852 subfield $h in the MFHD record should be input into field 050, 082, 086, or 090 of the authority record.

m = Volumes are classified with main or other series

The series is a subseries of another series, which is treated as a classed-together serial. There may or may not be a separate bibliographic record for the subseries. If there is, the call number in 852 subfield $h in the MFHD record of both the main series and the subseries must match. That call number should be input into field 050, 082, 086, or 090 of the authority record.

s = Volumes are classified separately

The series is not treated as a classed-together serial. Each volume is classed according to its own subject matter, disregarding the other volumes in the series. If there is a bibliographic record for the series (for acquisition purposes), it should be suppressed from the OPAC.

Subfield $d (Volumes/dates to which tracing practice applies)

If the practice in subfield $a is for specific volumes (e.g., a specific range of numbers or dates, or a specific category of volumes), use subfield $d to identify those volumes.

Example:

667 -- Nonpublic general note

Use to record notes of permanent value and general interest that would be useful to catalogers. Such notes may concern title variations; relationships to other series/records; publishers and issuing bodies; type of publication; handling of series-like phrase; change in selection decision; other miscellaneous information.

670 -- Source data found

Use to cite the source(s) of information for the heading. This is usually the series being cataloged. In subfield $a, put the title of the series followed by a comma, the designation of the piece, and a colon. In subfield $b, put the specific location of the information found (e.g., "t.p.", "p. 1", "cover", "back cover", etc.), followed by the information found, enclosed in parentheses. If different pieces of information are found in multiple locations within the same source, put them all within the same subfield $b.

Example:

670 ## $a Studies in Lesley Gore. Series I, Mercury years, v. 1

Use a separate 670 for each source.

675 -- Source data not found

Use to cite a source in which no information is found about the heading. If there are multiple source citations, use a single 675 field with a separate subfield $a for each citation.

680 -- Public general note

Use to give general information about the heading intended for public display. Put multiple notes in separate fields.

This subfield indicates that the field applies to the institution identified. To identify NUL in this subfield, use its MARC organization code "IEN" (for Transportation Library, use "IEN-Tr").

If any field is added to a record derived from the national authority file (see note in introduction), that field must include subfield $5. This is necessary to assure that the field is retained when updates are made to the local authority file by batch program.

Some fields should always include subfield $5 when they describe NUL practice, whether the record is national or only local. These fields are:

All fields denoting local treatment are to be input above similar fields for other institutions. If there are multiple occurrences of the same tag for local treatment, the field with current practice for the primary copy should be first.

Subfield $w -- Control subfield (used in 4XX and 5XX fields)

This subfield is used to indicate special information about the heading in the 4XX or 5XX field, and to convey special instructions to the catalog software.

4XX

nna -- Pre-AACR2 form of heading (national name authority file)

The heading in the tracing field is a pre-AACR2 form of the 1XX heading that was the authorized heading in the national name authority file at the time of the changeover to the AACR2 rules.

Example:

nne -- Earlier established form of heading (national name authority file)

The heading in the tracing field is a form of the 1XX heading that was formerly established in the relevant national authority file under a situation other than that specified by "nna".

Example:

130 #0 $a Lesley Gore music studies
430 #0 $w nne $a Lesley Gore music studies series

nno -- Earlier established form of heading (other authority file)

The heading in the tracing field is a form of the 1XX heading that was formerly established in an authority file other than the national authority file.

Example:

130 #0 $a Lesley Gore's party
430 #0 $w nno $a Lesley Gore's party series

If one of the above codes is used, and the heading in the 4XX field is identical to the heading in the 1XX field except for punctuation or capitalization, add "a" to the end of the code (e.g., "nna" would become "nnaa").

5XX

a -- Earlier heading

The heading in the 5XX field is an earlier title to the heading in the 1XX field.

Example:

130 #0 $a Judy's turn to cry series
530 #0 $w a $a It's my party series

b -- Later heading

The heading in the 5XX field is a later title to the heading in the 1XX field.

Example:

130 #0 $a It's my party series
530 #0 $w b $a Judy's turn to cry series
