Class Sep Series


Background

Follow this procedure for first-time cataloging of the serial record for a series that is to be treated as "class sep" per SCP 62: Monographic Series. For cataloging a title change for an existing class sep series, see SCP 62D: Series Title Changes.

A class sep series record is only needed if the library has a subscription or standing order for the series. The purpose of the record is to control the acquisition and routing of volumes received on standing order. Do not make a class sep series record if no invoices need to be paid and no more volumes are expected.

Class sep series records are intended for staff use only. They are suppressed from the OPAC. Choice and form of entry are according to the current cataloging standards (AACR2), but cataloging is done at a brief level. Subject headings are not used.


A. Bibliographic Record

1. If an appropriate serial record is found on OCLC, merge that record into the Voyager record. Delete all subject headings, and change the Encoding level to "5". Suppress the record from OPAC display.

2. If no appropriate serial record is found on OCLC, perform original cataloging, using Encoding level "3" in the Leader. Suppress the record from OPAC display. Use the following variable fields:

022 (if available)

040

1XX (if needed according to AACR2)

240 (if needed according to AACR2)

245

246 (if variant title access is needed)

260

362 (if information is available)

4XX (if the series being treated is a subseries; if the library has the main series, use 76X fields to link the main series and subseries)

500 ("Description based on" note, if first piece is not available)

5XX (if any important notes pertaining to the publication are needed)

7XX (if any added or linking entries are needed)

8XX (if any main series tracing is needed, other than field 440)

940 (if any notes pertaining to the Library's copy or treatment are needed)

B. MFHD Record

1. Suppress the record from OPAC display.

2. 852 first indicator 1 should be blank.

3. Do not input 852 subfield $h.

4. Input caption data in 852 subfield $x.

5. After the caption data, add subfield $x with the note "ct=cst".

6. Do not add volumes or create item records.

C. Authority Record

1. Update or create series authority records per SCP 63: Series Authority Records.

D. Statistics and Final Forwarding

1. In the 948 field, use the following cataloging status and statistical category codes:

subfield $b = d

subfield $g = cs

2. Insert an SSO routing slip into each volume, with the location, bib number and series treatment filled in. Put the volumes on the shelf indicated for SSO volumes to be routed to MARC Dept.
