A monographic series is "a group of separate items related to one another by the fact that each item bears, in addition to its own title proper, a collective title applying to the group as a whole. The individual items may or may not be numbered." -- (AACR2, 2002 revision, 2003 update)
A monographic series may also be a serial--"a continuing resource issued in a succession of discrete parts, usually bearing numbering, that has no predetermined conclusion." -- (ibid.)
The individual title of a volume in a monographic series is called the analytic title. The term analytic record (sometimes shortened to analytic) is used to denote the bibliographic record for the analytic title. Most analytics are monographs, but some are serials.
When a purchase order exists for the series, the serial record is sometimes referred to as the sso record (for "series standing order").
A. CLASS SEP
Analytics are cataloged and classified separately: each is given its own bibliographic record and shelf location is determined by its own subject and main entry. There is no relationship between individual titles in a series regarding shelf location, except by accident of similarity in subjects and main entries. If the library has a standing order to receive volumes in a series as they are published, there is a serial "sso" record with brief data for staff use; the sso record does not appear in the OPAC.
B. CLASS TOGETHER, NOT ANALYZED
Treatment is the same as for other annual/irregular serials: volumes are shelved together and no entries are made in the catalog for authors, titles or topics of the individual volumes.
C. CLASS TOGETHER, ANALYZED
The series is cataloged as a serial and volumes are shelved together. In addition, analytic records are are made for each individual title in the series. The following two methods of analysis are currently used in this library:
1. Full analytics
Each analytic record contains a full bibliographic description, including subject headings and added entries. The record may be LC or member copy from OCLC or may be an original record. The analysis is done in Catalog Dept. or MARC Dept. if the analytic is a monograph, or in the Serials Dept. if it is a serial. A book treated under this method differs from a "class sep" only in that the call number relates the book to others in the series.
2. Brief analytics
In this method, if no OCLC copy exists for a particular title in the series, an analytic record is created containing only brief bibliographic data, with no subject entries. Brief records are created only for monograph analytics, not for serial analytics.
D. CLASS TOGETHER, PART ANALYZED
Treatment is as for Class Together, Analyzed, except that only some volumes are analyzed; other volumes are treated as serial added volumes. Usually a series receiving this treatment contains only occasional monographic volumes, with the other volumes having only the series title and volume designation. Unless otherwise noted in the bibliographic, holdings, or series authority record, it is assumed that all analyzeable volumes are to be analyzed. In some cases, only certain types of volumes are designated to be analyzed or not to be analyzed. And in rare cases, volumes are analyzed only upon request of a subject bibliographer.
The following codes are used in Voyager records to indicate the method of treatment for a monographic series:
ct=brief - volumes are classed together; each volume is analyzed; full records are used if OCLC copy found; brief records are created if OCLC copy is not found
ct=pbrief - volumes are classed together; some volumes are analyzed; full records are used if OCLC copy found; brief records are created if OCLC copy is not found; unless otherwise noted, all analyzeable volumes are analyzed
ct=cst - volumes are classed separately; series title is traced
ct=csu - volumes are classed separately; series title is not traced (this treatment is normally for publications that are not true series but are treated as series for acquisitions purposes)
ct=na - volumes are classed together; volumes are not analyzed
ct=anal - volumes are classed together; each volume is analyzed (full bibliographic record)
ct=pa - volumes are classed together; some volumes are analyzed (full bibliographic record); unless otherwise noted, all analyzeable volumes are analyzed
Older treatments that must be changed when encountered:
ct=ata - volumes are classed together; each volume is analyzed (brief bibliographic record, author main entry); change this to ct=brief
ct=pata - volumes are classed together; some volumes are analyzed (brief bibliographic record, author main entry); unless otherwise noted, all analyzeable volumes are analyzed; change this to ct=pbrief
ct=ta - volumes are classed together; each volume is analyzed (brief bibliographic record, title main entry); change this to ct=brief
ct=pta - volumes are classed together; some volumes are analyzed (brief bibliographic record, title main entry); unless otherwise noted, all analyzeable volumes are analyzed; change this to ct=pbrief
