Newspapers (hardcopy)

A. Bibliographic record

1. General guidelines

Apply full descriptive cataloging newspapers. (In the past, common local practice had been to create brief "provisional level" records.)

Watch out for different editions.

For guidelines on determining what constitutes a newspaper, and for general CONSER cataloging rules and examples, see Module 33 (Newspapers) in CONSER Cataloging Manual.

2. United States Newspaper Program

In 1999-2000 the United States Newspaper Program (USNP) inventoried (and cataloged in OCLC if needed) United States newspaper titles held at NUL.

When updating an existing OCLC record, you may find that the holdings symbol "INU" is already attached to a hardcopy record. This does not necessarily mean that we hold and have cataloged the title. The USNP attaches an owning library holding symbol in OCLC to the hardcopy format for any format an institution holds. Check to see that we hold some format of the title. It will usually be for a microform holding.

USNP will have attached a holdings symbol for each title we hold throughout the history of a paper. The titles cataloged with successive entry in OCLC may not match the titles in Voyager. If not too much work is involved, break apart our title to match the currently cataloged known titles and adjust the holdings. Typically this will usually be for microform titles and will make linking the hardcopy issues held easier.

3. Fixed field elements to be aware of:

008/21 (Type of continuing resource) = n

008/23 (Form of item) = e

4. Variable field elements to be aware of:

Phrase or motto in masthead

If this would aid in identification or understanding of the purpose of the newspaper, include it as a quoted note in field 500. (This usually would apply to African newspapers.)

Subject headings

For most newspapers, the appropriate subject heading(s) would be the city and/or country with subdivision "$v Newspapers." Some newspapers may also cover specific topics or industries and should be assigned topical headings accordingly.

Field 752 for place of publication

752 ## $a [country] $b [state, province, territory] $c [county, region, island] $d [city]

For African places, use only country and city (subfields $a and $d).

Examples:

752 ## $a United States $b Illinois $c Cook $d Evanston
752 ## $a Mali $c Bamako

Field 776 for other formats held

If the library also has a microform edition of the newspaper, add linking field 776:

indicator 1 = 1

subfield $c = Microfilm or Microfiche

subfield $d = [name of microform publisher; use "Northwestern University Library" for locally-produced preservation microfilm]

subfield $w = [one each for OCLC, DLC, and IEN record numbers]

5. Statistics

Use Statistical Category code ne in 948 subfield $g.

B. Holdings record

1. Field 852

indicator 1 = 8

subfield $b =

nnew,afr (for all Africana newspapers)

nnew (for all other newspapers)

subfield $h = Newspaper

subfield $x (caption) = [yr]

2. Field 866

Include one or more of the following notes (see SCP 24 for additional examples):

866 41 $8 0 $z (CURRENT ISSUES HELD UNTIL MICROFORM RECEIVED)

866 41 $8 0 $z (EARLIER ISSUES AVAILABLE IN MICROFORM)

866 41 $8 0 $z (SOME ISSUES ALSO AVAILABLE IN MICROFORM)

Detailed issue holdings data will be input by Periodical/Newspaper Reading Room staff.
