SCP 17

Title Changes


1. Determine whether the title has actually changed, according to AACR2 and LC Rule Interpretations.

2. If it is not a title change:

a. Make necessary modifications to the record (notes, access points, etc.) regarding the variation in title. If there is reason to believe that the variant title is going to appear on only one or a limited number of issues or on only a specific part of the serial, that information may be input in field 246 $i.

Example:

246 1# $i Issues for 1998-1999 have cover title: $a Statistical
       yearbook of Thailand

b. If needed for added access, create another "dummy" check-in component in acquisitions for the variant title.

c. Return the piece to Serials Acquisitions for check-in/routing (or check-in and route yourself, noting number of pieces if it is a check-in statistics month).

3. If it appears to be a title change, search for OCLC copy for both the old and new titles. If it is found not to be a title change, follow step 2. If it is a title change, continue with step 4.

4. New Title

a. Search Voyager to see if a provisional record for the new title has been created. If it exists, use it for the new title, overlaying OCLC copy (if found) or your original cataloging. If no provisional record is found, import or create a new bibliographic record.

b. Include appropriate linking information (580/78X) in bib record. Modify OCLC copy with any additional information gleaned from the piece(s) in hand.

c. In the MFHD record, use the location code from the record for the previous title

d. Assign a call number to the new title according to SCP 30.

e. Compare the size of the old title and the new title, and determine if a new size designation is needed for the new title. If the new title has a different call number (852 subfield $h) than the old title, assign a size/location appropriate for the new title, regardless of the size of the old title. But if the new title has the same call number:

If the old title is "regular" and the new title is "large", change the old title to "large" if the run is not very long.

If the old title is "regular" or "large" and the new title is "folio", do not change the size/location of the old title.

If the old title is "large" and the new title is "regular", put the new title into "large".

If the old title is "folio" and the new title is "regular" or "large", keep the old title in "folio" and the new title in "regular" or "large".

f. Retain, add or modify appropriate notes on routing, binding or processing ("rte=SerCat/vh", "Latest issue in MAIN Reference", etc.). "Binding info" notes copied from the old title should be prefaced with the words "OLD TITLE".

5. Old Title

a. If the record on OCLC provides significant updates to the existing Voyager record, import per instructions in SCP 96. (Be sure to retain 035 fields with NOTIS numbers and all existing 948-949 fields.) If only minimal or no new information is in the OCLC record, do not overlay the Voyager record.

b. "Close out" the information in the bibliographic record: Publication status, Date 2, 260 $c, 300, 362, etc. Review the old cataloging and make any necessary changes in tagging, appropriateness of subject headings, etc. If a 246 field had been entered solely as an access point because of advance notice of the title change, and it is not a valid alternative title, remove it.

c. Add/update linking information (580 notes and 7XX $w) in this record and any related records as necessary.

d. Modify special holdings information as necessary. For example, if the 852 contains the note "Latest 5 volumes in Reference", revise the note to read "Latest 4 volumes in Reference" and add a note to 866 notifying the VH assistant that the note must be modified upon each transfer/withdrawal. Check with Head of Serials Cataloging if you have any questions about this step. If the title is "Latest volume only retained" add a note to 866 $x notifying the VH assistant that the title must be withdrawn upon the withdrawal of the last piece.

e. Modify the acquisitions "do not check-in here" note in the last 899 field, to indicate that the title has changed and it is to be checked in under the new title.

Example:

899 0# $a Title changed to JOURNAL OF TITLE CHANGES

f. Category code for recataloging statistics in 949 $g is "tc".

6. Acquisitions

a. Search to see if a purchase order has been made for the new title. If not, create a PO for the new title using vendor and fund code information from the old title PO. Consult with the acquisitions supervisor if unsure of what to use or if it may have changed. Insert a line item note in each stating that it is a title change from or to the other PO number (for example, "title change from PO#94565").

b. Create a check-in component for the new PO and set up a pattern. Ensure that all pertinent notes are copied from the old pattern.

c. Close the pattern for the old title, leaving any unreceived issues in the prediction. If any issues for the new title were checked into the old title component, add them to the new title, and turn off the OPAC display for those issues in the old title (or "unreceive" them and remove them). For non-periodical titles, check the history to verify that no issues are displayed in the OPAC. Alter the pop-up note to state that there has been a title change and what the new title is.

7. Follow normal Final Forwarding procedures for the new title.

8. If significant changes (added access points or linking fields, "closing out", etc.) are needed in the OCLC record, submit the record for CONSER authentication or maintenance.

9. Send a written notification to the acquisitions supervisor of the old and new PO numbers so that the old one can be completed.

10. Notify appropriate locations of the title change, identifying the records for both old title and new title. Note that temporary locations may need to be notified (for "lv:ref" titles, etc.).

11. In addition to departmental libraries, also notify:

Periodicals Room: for periodicals/newspapers held there (current issues for Main, Art, etc.)

Materials Processing: for periodicals not held in Periodicals Room, Music, or SEL; and for softcover annuals/irregulars routed to Materials Processing after receipt

12. If a series authority record exists for the old title, update it as necessary (changes in 014 and 640, addition of 530, etc.) following the normal authority procedures in SCP 63. Create a series authority record for the new title if it is analyzed in any way.
