NOTIS Title and Copy Level Notes


Background

In the NOTIS system (the library's online system prior to Voyager), many kinds of notes were placed in specific elements of the copy holdings record. This document explains what these notes were and how they were migrated into the Voyager system.


Title Level Notes (TLN)

Title level notes provided information about the cataloging, processing, etc. of the title as a whole. These notes appeared on the copy holdings screen, immediately above the first copy statement. Each note was input in a separate subfield $a.

The first note stated the type of initial cataloging completed--original (o), copy (c), partial (p), or brief (b) cataloging, followed by a colon and the cataloger's intitials. The second note was the cataloging revision note, and consisted of the number of the revision, the reviser's initials, and the date of the revision. Additional subfields $a were used to record handling and cataloging treatment instructions, and related record numbers.

In the migration to Voyager, these notes were placed into field 948 of the bibliographic record (each as a separate subfield $a) along with the STATUS code ($b) and cataloging date ($c). Example of its migration to Voyager 948 subfield $b:

Listed here are some common codes for treatment instructions and related record links. Multiple notes may be combined into a single subfield, separated by semicolons or commas.

rte= newly received volumes are sent to the person or department
specified after the equals sign; for "rte=SerCat/vh", volumes are
sent to the Volume Holdings Assistant after check-in for adding
to volume holdings record and creating item record, etc.
ct= classification treatment for a monographic series; see SCP 62
for full list of codes
rrp= linking code to previous title; the equals sign is followed by
the NOTIS bib number of the previous title
rrl= linking code to later title; the equals sign is followed by the
NOTIS bib number of the later title
rr= linking code to the record of the exact title in a different
format, e.g. hardcopy or microform; the equals sign is
followed by the NOTIS bib number of the other format

Copy Level Notes (CLN)

Copy level notes provided information about a unique copy and appeared in the cataloging copy holdings screen just below the line indicating the copy status, classification type, location, call number, volume caption and date of entry.

Some notes were in the form of coded constants which "exploded" into full statements in the OPAC displays. Some of these codes are:

ci:pr Current issues in periodicals
lv:ref Latest volume in reference
lv2:ref Two latest volumes in reference
lv3:ref Three latest volumes in reference
lv5:ref Five latest volumes in reference
prum Current issues in periodicals until microform copy received
sc Subscription cancelled
rum Current issues in reference until microform copy received

Free-text notes could also be input for display in the OPAC. These notes began with "um="; all following text in the subfield would display in the OPAC exactly as entered. Example:

um=Current issues are shelved at the Reference Desk

Other notes (e.g., staff-only notes for processing, bibliographic searching information in provisional records, etc.) were also input in subfield $a. Each note was in a separate subfield $a. If a coded constant or "um=" note was being used, it was in the first subfield $a.

In the migration to Voyager, all of these notes were placed into field 852 of the holdings record. Most of the coded constants were translated into their full OPAC form and put into subfield $z; the text following "um=" was also put into subfield $z. All other notes were put into subfield $x.

Some standard conventions used in CLN:

wd= withdrawal of volumes (this precedes the numbers/dates
of withdrawn volumes)
lvo=retained signifies that the latest volume only is retained;
previous volume is withdrawn when a new volume is added
