Frequency Changes


1. Determine the current frequency by examining publisher's info and/or receipt history.

2. Search for more current OCLC copy, and overlay Voyager bib record if found. If Voyager record does not need to be overlaid, or if the current OCLC record does not reflect the current frequency, update the Voyager record as follows:

a. Update the Frequency and Regularity codes in the bib record 008 field.

b. Change the 310 field (if present) to 321, adding closing date if known. Put this field after all other existing 321 fields. If closing date is unknown, use the latest known date for that frequency, and enclose it in angle brackets.

Example:

Old:

310 ## $a Quarterly

New:

321 ## $a Quarterly, $b -2002

c. Add a new 310 field with the current frequency and beginning date. If beginning date is unknown, use the earliest known date for that frequency, and enclose it in angle brackets.

3. Compare bib record with piece in hand and make any other necessary changes to description or access points.

4. If there is a check-in record, change the pattern to reflect the current frequency.

5. If the serial changed to annual/irregular (but it was formerly periodical):

a. If there is a check-in record, change the location in the check-in title (e.g., from "Journal of ABC (nu pr)" to "Journal of ABC (nu main)"). Change the pop-up note (e.g., from "ci to pr" to "rte=SerCat/vh").

b. In the MFHD record, remove any public notes about location of current issues (e.g., "Current issues in MAIN Periodical/Newspaper Reading Room"). Replace any nonpublic note about routing of current issues with the note "rte=SerCat/vh".

c. Notify Periodical Room (or other current issues location) that the serial is no longer a periodical, and that unbound issues should be prepared for binding.

d. Add the volume(s) in hand per SCP 59.

6. If the serial changed to periodical (but it was formerly annual/irregular):

a. If there is a check-in record, change the location in the check-in title (e.g., from "Journal of XYZ (nu main)" to "Journal of XYZ (nu pr)"). Change the pop-up note (e.g., from "rte=SerCat/vh" to "ci to pr").

b. In the MFHD record, replace any nonpublic note about routing new volumes with a note about routing current issues (e.g., change to "ci to pr"). Do not add a public note referring to Periodical Room; that step will be handled by PR staff.

c. Send issue(s) in hand to Periodical Room (or other current issues location), with record printouts and a note that the serial has become a periodical.

7. Add a 949 statistics field to the bib record, with code "freq" in subfield $g.

8. If the frequency change or any other significant changes need to be made to the OCLC record, route to Head of Serials Cataloging.
