Standards for Holding Statements

Introduction


In 1979, local standards were devised at Northwestern University Library for recording volume holdings. These standards were issued in the Technical Services Decisions series of documents (TSD 79-11 through 79-22) and have been in use essentially unchanged since their creation. In the 1980s, two relevant documents were issued by the American National Standards Institute: ANSI Z39.44-1986 (American National Standard for Information Sciences--Serial Holdings Statements) and ANSI Z39.57-1989 (Holdings Statements for Non-Serial Items). The ANSI standards provide much more precision and clarity than do the old NUL standards. Since the ANSI standards are being widely accepted across the nation, it seems desirable for the Northwestern libraries to implement them as they move toward increased sharing of catalog information.

The NOTIS Library Management System has the ability to support the USMARC Format for Holdings Data, a national standard for the machine coding of library holdings information. This format is more advanced than the old Volume Holdings Record (VHLD) format and provides more flexibility for recording holdings data. Implementation of the USMARC format is necessary for NUL's participation in the CIC Virtual Electronic Library project, slated for Fall 1994. The change to the new format is seen as an ideal time to begin recording holdings data according to the ANSI standards.

The Cataloging Policy Committee (CPC) has made decisions about local implementation of the ANSI standards. This document is intended as a training and reference tool for staff of the Northwestern libraries. It incorporates parts of the standards and the CPC decisions as well as practical guidelines on using the MARC holdings format and making the transition from the old standards and records to the new. More detailed information can be found in the ANSI documents and in the NOTIS tag charts.
