General Information

Because of space limitations in the order record, the ANSI standard cannot be used as it is in the MHLD record. The following modifications are a compromise between the more compact method used in the past and the punctuation and capitalization of the ANSI standard.


Creating New Lines

Create a new R line for the first piece being checked in under the new standard. Do not change the format of data in existing R lines.

If there is more than one level of designation (e.g. both "volume" and "number"), start a new line when the highest level changes.

Use a separate line if a further level of designation is needed (for example, a title normally published in 12 issues per year suddenly has an issue in 2 parts).

     002 R  v.10:no.1-8(1994:Jan.-Aug.)
     003 R  v.10:no.9:pt.1-2(1994:Sept.)
     004 R  v.10:no.10(1994:Oct.)


Captions

Do not repeat the captions for subsequent pieces in the same line. (This is different from the ANSI standard and the way holdings are recorded in MHLD records.)
     (1)  Correct:    005 R  v.1:no.1-8

          Incorrect:  005 R  v.1:no.1-v.1:no.8

     (2)  Correct:    011 R  18.Jahrg.:3.-6.Heft

          Incorrect:  011 R  18.Jahrg.:3.Heft-18.Jahrg.:6.Heft


Enumeration and Chronology

Record enumeration separate from chronology. (This is different from the ANSI standard and the way holdings are recorded in MHLD records.)
     Correct:
          018 R  v.12:no.1-4(1989:Jan.1-Feb.15)

     Incorrect:
          018 R  v.12:no.1 (1989:Jan.1)-v.12:no.4 (1989:Feb.15)
Do not use spaces between the enumeration and chronology.
     Correct:    012 R  v.1:no.1-4(1989:Jan.-Oct.)

     Incorrect:  012 R  v.1:no.1-4 (1994:Jan.-Oct.)
Use a slash to indicate multiple numbers or dates in a single published piece.
     Library received:  v.8:no.1 (1993:Jan.) v.8:no.2 (1993:Feb.)
                        v.8:no.3/4 (1993:Mar./Apr.)

          Correct:      021 R  v.8:no.1-3/4(1993:Jan.-Mar./Apr.)

          Incorrect:    021 R  v.8:no.1-4(1993:Jan.-Apr.)


Gaps and Breaks

Indicate a gap by a comma.
     004 R  v.64:no.1-2,4-5(1989:Feb.-Apr.,Aug.-Oct.)
Indicate a nongap break by a semicolon. Input an N line explicitly stating the skip in numbering, and start a new R line for the pieces published after the break.
     005 R  v.12:no.1-5(1993:Jan.-May);
     006 N  v.12:no.6 not published
     007 R  v.12:no.7-12(1993:July-Dec.)


Supplements

Record supplements on a separate line following regular holdings for that volume. Generally, do not use the label "SUP:" at the beginning of the R line if the caption "suppl." (or its equivalent in another language) is part of the piece designation. Supplements not associated with a particular volume may be recorded with the label "SUP:". Keeping in mind the limited space available, use discretion in the formatting of receipt statements for supplements in order to make the display as clear as possible.
     Library received supplement 1 to v. 2:

          003 R  v.2:no.1-5(1990:Jan.-Feb.)
          004 R  v.2:suppl.1(1990)

               (The preface "SUP:" is not needed here because the word
               "suppl." is part of the caption.)

     Library received supplements to no. 1-12 of v. 133:

          086 R  v.133:no.1-12(1993:Jan.-Dec.)
          087 R  SUP:v.133:no.1-12(1993:Jan.-Dec.)

               (The preface "SUP:" is needed here because there is no other
               indication that the pieces are actually supplements.  If this
               information were being recorded in the MHLD record, "SUP:"
               would not be needed because field 867 would automatically
               supply "Supplements:" in the NUcat display.)


Indexes

Record indexes on a separate line following regular holdings and supplements for that volume.
     007 R  v.10:no.1-6(1991:Jan.-Nov.)
     008 R  v.10:suppl.(1991)
     009 R  v.10:index(1991)
