Introduction

These standards apply to the recording of non-serial holdings in MARC holdings records. The Libraries using the Northwestern University NOTIS system have agreed to follow ANSI/NISO standard Z39.57-1989, Holdings statements for non-serial items. The libraries will record non-serial holdings at Level 4 as specified by the standard. Standards for the recording of serial holdings in MARC holdings records are discussed in Chapter 1; procedures for creating and updating MARC holdings records are covered in Chapter 3; standards for inputting receipt statements in order records are in Chapter 4; and standards for item records are in Chapter 5.


Definitions

Bibliographic Item--A bibliographic unit or set of bibliographic units in any physical form, either serial or non-serial, published, issued or treated as an entity and, as such, forming the basis for a single bibliographic description. In these guidelines, the bibliographic item is the entity described by the bibliographic record to which the MARC holdings record is linked. Some bibliographic items consist of one or more basic bibliographic units; others consist of one or more basic bibliographic units plus one or more secondary bibliographic units. Examples of bibliographic items are: a single book, a set of maps, a musical score with parts, a compact digital disc, a multimedia kit, a manuscript collection, a microform journal, a videotape with an accompanying pamphlet, a loose-leaf publication together with its serially issued updates, a set of computer disks with their accompanying manuals.

Bibliographic Unit--A discrete bibliographic entity that constitutes either the whole or part of a bibliographic item. A bibliographic unit may or may not be separately titled, and it may or may not be sequentially ordered with respect to any other bibliographic unit within the bibliographic item. A bibliographic unit may be a basic bibliographic unit or a secondary bibliographic unit; it may be single-part, multipart or serial.

Basic Bibliographic Unit--The primary bibliographic unit for which holdings are being reported, as reflected in the corresponding bibliographic description. Examples of basic bibliographic units are: a single map, a ten-volume encyclopedia, a computer file, a score, a set of orchestral parts, a legal publication with separately titled constituent parts. Bibliographic units that are considered equal components under the conventions for bibliographic descriptions being applied--such as a musical score and parts, or the parts of a multimedia kit--are considered multiple basic bibliographic units.

Secondary Bibliographic Unit--A bibliographic unit that is supplementary or complementary to a basic bibliographic unit or to another secondary bibliographic unit; some types of secondary bibliographic units are considered accompanying material under AACR2. A secondary bibliographic unit may itself be single-part, multipart, or serial in nature. Examples of secondary bibliographic units are: a supplement, an index, a map in a pocket inside a book cover, an answer book accompanying a textbook, a pamphlet accompanying an audiodisc, or a serial update service to a single part of a multipart item. Note that an equal bibliographic component of a set of differing items, such as a multimedia kit or a musical score and parts, is considered a basic bibliographic unit. Individual parts of multipart items are considered parts, not secondary bibliographic units.

<> Angle brackets--To enclose the specific extent note. The left angle bracket is always preceded by a blank.

Capitalization and Abbreviation

Capitalize captions, months, etc. according to the rules of the language involved.

Some common abbreviations are given below. See AACR2, Appendix B for other abbreviations.

Holdings Statements

Holdings are recorded in terms of enumeration, extent of unit, and/or name of unit. One or more of these elements must be present in every holdings statement. Note that this provides more flexibility in recording non-serial holdings in contrast to serial holdings where only enumeration is allowed. Also note that except for secondary units treated as serials, dates (chronology) are not recorded.


Enumeration (Numbers)

Record all numeric information as Arabic numerals.

     v. VII    becomes   v.7

Record alphabetic data as they appear on the publication (romanize if necessary).

Typographic or other designations used in lieu of numeric designations can be converted to numbers, if they have direct numeric equivalents.

Square brackets are used to indicate supplied or corrected enumeration.

In the case of multipart items lacking enumeration, but in which the individual parts have distinctive titles, the titles can be used as a substitute for enumeration.

Record captions in the vernacular form appearing on the publication (romanized if necessary). Capitalize and abbreviate according to AACR2, Appendix B. (Note, the decision to supply captions, when these are lacking, is a local library option.)

Extent of Unit

Consists of an arabic numeral indicating the sum of the number of units held, followed by a term indicating the specific class of material held, to which the units belong. Use the specific material designation as instructed in subrule .5B in the chapter of AACR2 dealing with the type of material to which the units belong.

Name of Unit

May be used when recording holdings for secondary bibliographic units, or in cases of multiple basic units, if necessary to clarify the holdings being recorded. The name shall be enclosed in quotation marks. It shall consist of the bibliographic title of the unit, or a supplied designation describing it.

Specific Extent Note

Contains information clarifying or enlarging upon the extent of holdings element or elements preceding it. It is enclosed within angle brackets.

     Library holds pt.1-4, but pt. 2 is water-damaged

     Library holds v.1,5-9 in hard copy, v.2-4 on microfilm
          v.1.  v.2-4 (Microfilm; request at Circulation Desk).  v.5-9

Chronology (Dates)

Dates are not recorded except in the case of component bibliographic units that are treated as serials.


Gaps and Breaks

Gaps are indicated by a comma.

     Library holds no.1-2 and 4-5 (but not no.3)
          no.1-2,no.4-5

     Library holds Band 2, Teil 4-5 and Band 2, Teil 7-8
          Bd.2:T.4-5,T.7-8
Nongap breaks are indicated by a semicolon
     Library holds v.1-10, but v.6 was never published

Itemization

An itemized statement consists of the enumeration of each part of the unit held. The caption is repeated ahead of each part itemized. To separate itemized parts use a period followed by two blanks (.bb)

     Library holds volumes 1-4
          v.1.  v.2.  v.3.  v.4

     Library holds parts A-B and parts D-E
          pt.A.  pt.B,pt.D.  pt.E

     Library holds tome 1-3, but tome 2 is unbound

Compression

A compressed statement shows the holdings as a range of parts. If all the parts are at the same hierarchical level, any caption present is recorded once preceding the first numeric/alphabetic designation. Compression may take place only when there are no gaps.

     Library holds volumes 1-4

     Library holds parts A-B and D-E
          pt.A-B,pt.D-E
Holdings can also be expressed as a combination of compressed and itemized statements.

Hierarchical Bibliographic Units

Record enumeration data from the highest hierarchical level to lowest hierarchical level, using a colon to separate each level.

When an item carries combined numbering, such as a double volume, separate the numbers with a slash.

Compression may take place at the lowest hierarchical level or there may be further compression at a higher level, provided that there are no gaps at the lower level.

Hierarchical bibliographic units having first-order designators, but lacking subsequent order designators may be itemized by using titles present on the parts in lieu of subsequent order designators.

Serials as Secondary Bibliographic Units

Record the holdings of secondary bibliographic units that are serial in nature following the rules set forth in the ANSI/NISO standard Z39.44--1986.
